Managing Courses

Courses represent the individual layouts players can choose at your venue. Most venues have one or two courses, but you can create as many as you need.

Creating a new course

Open your venue admin dashboard and go to Courses.
Click New Course.
Enter a name for the course (e.g. “Ocean Breeze”).
Choose the number of holes -- 9 and 18 are the most common.
Set the par value for each hole. Par defaults to 3 if you leave it blank.
Click Save. The course is live immediately.

Setting hole count and par values

When creating or editing a course, you specify the total number of holes and set a par value for each one. Par values are used to calculate relative scores (over/under par) on the player scorecard and leaderboard. Most mini golf holes are par 2 or par 3. If your course has a mix, set each hole individually.

Editing an existing course

From the Courses page, click on a course to open its detail view. You can:

Change the course name
Update par values for individual holes
Add or remove holes Changes take effect immediately for new scorecards. Scorecards already in progress will keep the par values that were set when the round started.

Course slugs and URLs

Each course gets a URL-friendly slug based on its name. For example, a course named “Pirate Cove” at a venue with the slug “seaside” would be available at: miniGolfScorecards.com/seaside/pirate-cove The slug is generated automatically when you create the course. If you rename

Here is what your players see when they use Mini Golf Scorecards. Everything runs in the browser -- no app to download.

How players start a scorecard

Players start a scorecard in one of two ways:

Scan the QR code at your venue. Their phone camera opens the course page directly.
Visit the URL in their browser, for example miniGolfScorecards.com/seaside. From your venue page, the player selects a course (if you have more than one) and taps Start Scorecard. To join an in-progress scorecard on a second phone, the scorekeeper shares a QR code from inside the scoring page (see Multiple scorekeepers below) — no codes to type in.

Adding players and entering names

Whoever started the scorecard adds players by name. Only the scorekeeper needs a phone — other players just call out their scores. The scorekeeper can optionally provide their email address to receive a copy of the finished scorecard. Mid-round player changes are supported from the scoring page:

Add a player after the round has started. They’re stamped with the hole they joined on, so earlier holes show as “—” on their card instead of forcing back-fills.
Remove a player. Their scores are dropped and the remaining players continue.
Edit a player's name. Tap the name to rename. Late-joiners can still complete the round — they just won’t earn medals on the in-round leaderboard, and they can’t post to the venue-wide leaderboard until they’ve scored every hole on the course.

Billing & Pricing

Mini Golf Scorecards uses simple, usage-based pricing. You only pay for what you use, and there is always a cap so costs never surprise you.

Free tier: 100 scorecards per month

Every venue gets 100 free scorecards per calendar month. No credit card is required to sign up or to use the free tier. This is enough for many smaller venues to run entirely for free. If you stay within 100 scorecards, you will never be charged.

What counts as a billable scorecard

A scorecard is counted when a group starts a new round on one of your courses. Each round is one scorecard regardless of how many players are in the group or how many holes they complete. Abandoned scorecards (started but never completed) still count toward your usage.

Pricing after the free tier

Once you exceed 100 scorecards in a calendar month, each additional scorecard costs $0.10. For example:

150 scorecards/month = 50 billable = $5.00
500 scorecards/month = 400 billable = $40.00
1,000 scorecards/month = 900 billable = $90.00

Monthly cap: $99/month

No matter how many scorecards your venue runs, you will never pay more than $99 per month. Once your bill reaches $99, every additional scorecard for the rest of the month is free. The cap kicks in at around 1,090 scorecards in a month (100 free + 990 at $0.10 each) — well past most venues’ busiest months.

Contacts & Marketing

Mini Golf Scorecards helps you build a list of player contacts organically. Every email collected is tied to a real visit at your venue.

How contacts are collected

Contacts come from two sources during a scorecard:

Scorekeeper email -- when the person keeping score enters their email at the start of the scorecard to receive a copy of the finished scorecard.
Player opt-in -- at the end of the round, individual players can choose to receive their scorecard by email. They enter their address and optionally consent to marketing communications. Both methods are voluntary. Players are never required to provide an email to use the scorecard.

Viewing your contacts list

Go to Contacts in your dashboard to see all collected email addresses. Each entry shows the player name, email, the date they played, and whether they consented to marketing.

Filtering by marketing consent

The contacts list can be filtered to show only players who opted in to marketing. Use the Marketing consent toggle to narrow the list. This ensures you only reach out to players who explicitly agreed to hear from you.

Exporting contacts as CSV

Click the Export CSV button on the Contacts page to download your contacts as a spreadsheet-compatible file. The export includes:

Player name
Email address
Date of visit
Marketing consent status You can import this CSV into email marketing tools like Mailchimp, Constant Contact, or any platform that accepts CSV uploads.

Getting Started

You can have digital scorecards running at your venue in under five minutes. Here is how.

1. Sign up and create your account

Visit the sign-in page and enter your email — we’ll send you a magic link and a 6-digit code. Click the link on this device, or type the code if you’d rather sign in somewhere else. No password to remember, and no credit card to start. The first 100 scorecards every month are free. After that it’s $0.10 per scorecard, capped at $99/month — you only pay when players actually use it.

2. Set up your venue

During signup you will provide some basic details about your venue:

Business name -- the name players will see on their scorecards.
Venue slug -- a short URL-friendly identifier (e.g. “seaside”) that becomes part of your venue link.
Brand colors -- optional. Customize the look of the player-facing scorecard to match your branding. You can update all of these later from the Settings page.

3. Create your first course

Head to Courses in the sidebar and click New Course. You will need:

A course name (e.g. “Pirate Cove”)
The number of holes (typically 9 or 18)

QR Codes & Flyers

QR codes are the fastest way for players to start a scorecard. They scan with their phone camera and land directly on your course -- no app download required.

Your venue URL and QR code

Every venue gets a unique URL based on your slug. Each course within your venue also has its own URL. The QR code encodes this URL so players go straight to the right place. If you have multiple courses, you can create a QR code for each one, or use your venue-level URL which lets players choose their course.

Downloading QR codes

To download a QR code:

Go to Courses in your dashboard.
Click on the course you want a QR code for.
Click the Download QR Code button.
The QR code saves as a high-resolution PNG suitable for printing.

Generating printable flyers

From the course detail page you can also generate a ready-to-print flyer. The flyer includes your venue name, the QR code, and brief instructions for players. Print it on standard letter or A4 paper and laminate it for durability.

Where to place QR codes

The best locations for your QR codes are wherever players naturally pause before starting their round:

At the first tee -- the most effective spot. Players are about to start and have their phones out.
Front desk or counter -- staff can point players to the code when handing out equipment.
Venue entrance -- catches players on the way in.
On receipts or tickets -- if your point-of-sale system supports it, print the URL or QR code on th
